Client Portal Tutorial
If you wish to see this in full-screen mode for larger text, begin the video, pause it, hover over the bottom right area until you see a square that, when hovered, shows “Fullscreen,” then select that (on mobile devices, tap the video screen to see the available controls). You may undo Fullscreen mode by pressing the escape key, Esc, the upper left-most key on a typical computer keyboard (on mobile devices, tap the screen again to get to the controls and then choose to be in normal mode.)

In the first email that we send to you, you’ll see a Username provided to you and a link so that you can get to the client portal to reset your password. Initially, resetting your password, it’ll show that it’s either weak, medium, or strong quality, and that’s in this area right here. And then click down here, Save Password, to move on. It’ll then take you to a screen that says that your password has been reset, and then click on the Log In button here. Once you put in your credentials with your new password and click Log in, it’ll take you into the Client Portal. In the Client Portal, initially, there’ll be no folders or files. We have a New Folder button, an Upload Files button, and initially, it’ll just say Home. This is your folder path to the right of Home.
Before we move on, I want to show you how secure this is so you have confidence in uploading your files to us. I’m going to show you, up in the left top left corner here, the Certificate Authority button that’s in your browser. And in that, you’ll see that we have a notification that it is secure. And if we click on that, then we see again the same thing, connection is secure, giving you confidence of that from your browser. And you’ll see that it uses 256-bit encryption, which is a standard high level of encryption.
Once in the portal, we suggest that you scroll down. Do that over on the right side. Click on New Folder here and then enter a folder name here. We recommend that every time you do an upload for us to receive files from you for your bookkeeping, that you name it with the date – year, month, day of month – and then click on Create. If you upload things two times, a second time, third time, and so forth, just put a dash and a number. It’s like dash two or dash three afterward, and then click Create. And then that will show you that you have made the folder in the Home path. Click on the folder. It will now take you down one level in the folder path, and then click New Folder. We’ll be taking you through, in this training, teaching you to use two levels, the date, and folder name for what’s going in there. So, click New Folder. Put in a name here. We recommend using “Statements” for bank statements. That will tell us what you’re giving to us to do your bookkeeping. And then you’ll see here that it’s showing ”Statements” within the Home and the Date folder. Clicking on that folder, you’ll then expand the folder path so that we have the Date and Statements and then we can upload files within that. Click on Upload Files. Then click on Choose Files. It will allow you to then select a file. Once it’s selected, it will show in the File Name area, and then click the Open button, and then it will show that it has been uploaded.
To work outside of that Statements folder, just click up one level to the left in the folder path right here, and then it will take you back to the Date. Click on Create New Folder. Put in a new name. We recommend that you use one called Venmo, Zelle, PayPal, things like that, or just put them all in one. We call it Venmo, etc., which means we’ll put all the other statements besides bank statements in this folder. If you wish to separate them, you may. If there’s good reason to make a separate Venmo, separate Zelle, separate PayPal, separate Swipe, whatever other statement type you might be needing to send to us to take care of your bookkeeping. And then click on the Create button over here. And you’ll notice in the folder structure for the Date, we now have done our Statements with one statement uploaded. We now have the Venmo folder. Click on the Venmo folder, and it’ll take you into the Venmo folder path, where we can then upload files. So then click on Upload Files. Click on Choose Files, and then – this is a real example of us with our Venmo etc. folder – and then click on Open. The file has now been uploaded. To get out of that area, go up one level to the Date area. Just click on the date in the folder path right here. And then you’ll see that we have our Statements folder and our Venmo folder.
When done, go to the top right area, hover over the name right there, and then click on Log Out right here.
And if you ever forget your password, you can click over here to say that you’ve lost your password, and it will have you put in your Username or email address, and then click on Get New Password, and it will send you a password reset email like this, where your credentials are still there with the Username, and to reset password, visit the following address. You click on that link there, and it’ll take you to the page that says “enter your new password.” You’ll put it in yourself. If you wish to see it, just click on the “eye,” and click on Save Password, and then it’ll take you to the Login page. It’ll say that your password has been reset. You can click on the Log in button right there and put in your credentials with your new password. Click on Log in right there, and then you’re back to within your portal with the folders that you’ve put in there prior. Again, when done, hover over the name in the upper right.
One additional feature we have for securing our website is to prevent brute force hacking attacks. We have lockout of accounts after four failed attempts. It locks out for 20 minutes. If that’s done four times in a row, 16 times, then it locks out for 24 hours. This is for security of our website and all files. If, however, you lock yourself out by forgetting your password and you lock yourself out, you’ll need to contact us, and we can override this and immediately reset your password without you having to wait the 20 minutes or the 24-hour period.
